ChatMunshi Privacy Policy

1. Introduction

ChatMunshi is an AI-powered messaging assistant for businesses, provided by Senithu Software Solutions (“we”, “us”, “our”). ChatMunshi connects to a business's WhatsApp Business account and automatically responds to customer enquiries, books appointments, and captures leads on the business's behalf.

This Privacy Policy explains what information ChatMunshi processes, how it is used, how it is protected, and the choices available to businesses that use the service.

2. Information We Process

To provide the service, ChatMunshi processes the following information on behalf of each business customer:

  • Messages that customers send to the business's connected WhatsApp number, and the replies sent by the assistant or the business's staff.
  • WhatsApp Business assets of the connected account, such as the business profile, phone number, and message templates.
  • Business configuration provided by the business (for example: services, prices, opening hours, and FAQ content used to answer customers).
  • Basic account and usage information for the business's ChatMunshi dashboard (name, email address, and service usage statistics).

3. How We Use This Information

We use this information solely to provide the automated messaging service to the business: generating automatic replies, answering questions, booking appointments, capturing and qualifying leads, enabling the shared team inbox, and showing the business its own conversations and analytics in the ChatMunshi dashboard.

We do not use this data for any other purpose. We do not sell it, rent it, or share it with third parties for advertising or marketing.

4. Data Storage & Security

Data is stored encrypted, both in transit (TLS) and at rest. Access is restricted to the business that owns the data and to authorised Senithu Software Solutions personnel who need it to operate and support the service.

5. Data Sharing

We never sell your data and never share it with third parties, except where strictly necessary to operate the service (such as the WhatsApp Business Platform itself and our hosting infrastructure) or where disclosure is required by law.

6. Data Retention & Deletion

Conversation and configuration data is retained while the business's ChatMunshi account is active so the service can function (for example, conversation memory for returning customers).

Businesses may request deletion of their data at any time by emailing info@senithu.lk. Upon a verified request, we will delete the business's data from our systems within a reasonable period, except where retention is required by law.

Individuals whose messages have been processed by ChatMunshi may also request deletion of their conversation data at any time — either through the business they contacted, or directly by emailing info@senithu.lk.

7. WhatsApp Business Platform

ChatMunshi is built on the official WhatsApp Business Platform. Our use of platform data is limited to providing the messaging service described above and is subject to the applicable platform terms. WhatsApp is a trademark of Meta Platforms, Inc.; ChatMunshi is an independent product and is not affiliated with or endorsed by Meta.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated effective date.
